Terms of Service

1. What This Service Does

The Receptionist App ("we," "us," "our") provides an automated after-hours call answering, appointment booking, and lead capture service for businesses ("you," "the customer"). By using our service you agree to these terms.

2. Your Account

You are responsible for keeping your account credentials secure. You agree to provide accurate business information during setup and to notify us promptly if anything changes. You must be at least 18 years old and have the authority to enter into this agreement on behalf of your business.

3. Billing & Cancellation

Fees include a recurring monthly base charge (currently $10/month unless otherwise agreed in writing) plus a per-booking fee for each confirmed appointment that your AI receptionist places on your calendar, at the rate agreed during onboarding. A “booking” is a confirmed calendar appointment attributed to the service under your account.

There are no long-term contracts. You may cancel at any time. Unless we agree otherwise in writing, you remain responsible for fees accrued before cancellation (including the monthly base for the current month and any booking fees for appointments already booked). We do not guarantee prorated refunds except where required by law or expressly stated in writing.

We may offer an optional monthly cap on booking fees or other commercial terms; when offered, those terms are confirmed in writing during onboarding or in your order summary.

From time to time we may offer a written performance or promotional guarantee (for example, a minimum number of bookings in a stated period). When offered, the specific conditions, remedies, and time limits apply only as set out in that written offer.

We reserve the right to change pricing with 30 days' written notice. Continued use of the service after a price change constitutes acceptance of the new pricing.

4. Acceptable Use

You agree not to use The Receptionist App for any unlawful purpose, to handle calls related to emergency services, or to misrepresent the nature of the automated service to your callers in a way that violates applicable law. We reserve the right to suspend or terminate accounts that violate these terms.

5. Service Availability

We strive for high uptime but do not guarantee uninterrupted service. Scheduled maintenance, force majeure events, and third-party provider outages may occasionally affect availability. We are not liable for missed calls or lost bookings resulting from service interruptions beyond our reasonable control.

6. Limitation of Liability

To the fullest extent permitted by law, The Receptionist App's total liability to you for any claims arising from or related to the service shall not exceed the amount you paid us in the calendar month immediately preceding the claim. We are not liable for indirect, incidental, or consequential damages.

7. Changes to These Terms

We may update these terms from time to time. When we do, we will revise the effective date at the top of this page and notify you via email. Continued use of the service after changes take effect constitutes your acceptance of the revised terms.

Our Core Promise

We will never use your data — or your callers' data — for any purpose other than storing and displaying it so you can access it. No selling, no profiling, no advertising. Period.

1. What We Collect

We collect only what is necessary to deliver the service:

  • Your business information — name, contact details, hours, and service offerings you provide during setup.
  • Caller information — phone numbers, names, appointment requests, and messages captured during calls handled by the service.
  • Account & billing information — email address and password for the business dashboard, payment details (processed securely by our payment provider), and related account data.
  • Google Calendar connection (optional) — if you connect your calendar in the business dashboard, we store OAuth tokens in encrypted form and create or update calendar events when appointments are booked through the service. We only access calendars and events needed to provide that booking sync.

2. How We Use Your Data

Your data is used for one purpose: to operate the service for you. Specifically, we store caller information, appointment details, and lead data so that you can view, manage, and act on it. If you connect Google Calendar, we use that connection solely to reflect bookings and related details on the calendar you choose. We do not analyse your data for trends, sell it to third parties, use it for marketing, or share it with anyone outside of delivering the service to you.

3. Data Storage & Security

All data is stored on secure, encrypted servers. We use industry-standard security measures — including encryption in transit and at rest — to protect your information. OAuth refresh tokens for Google Calendar are encrypted at rest on our systems. Access to customer data within our organisation is limited to personnel who need it to support your account.

4. Data Retention

We retain your data for as long as your account is active. If you cancel your account, we will delete your data within 90 days of cancellation unless we are legally required to retain it. You may request early deletion at any time by contacting us.

5. Third-Party Services

We use a limited number of third-party providers to deliver the service (e.g., telephony infrastructure, payment processing). If you connect Google Calendar, Google processes authentication and calendar data according to Google's policies; we only request access needed to create and manage events you authorize. These providers only receive the minimum data necessary to perform their function and are contractually required to protect it where applicable. We do not share your data with any third parties for their own purposes.

6. Your Rights

You have the right to access, correct, or delete any data we hold about you or your callers. You may also request a copy of your data in a portable format. To exercise any of these rights, contact us and we will respond within 30 days.

7. Cookies & Analytics

Our marketing website uses minimal analytics to understand traffic patterns. We do not use tracking cookies for advertising purposes. The service dashboard may use session cookies strictly necessary for authentication.

8. Changes to This Policy

If we make material changes to this privacy policy, we will notify you by email before the changes take effect. The effective date at the top of this section will always reflect the latest revision.
